Upgrading to SharePoint 2003

Diamond Light Source is a prestigious new science facility currently being built in South Oxfordshire. The facility, which represents the largest single investment in science by the UK for over 30 years, will ultimately host as many as 40 research stations, supporting the life, physical and environmental sciences. Diamond wishes to see a thriving research community addressing important scientific problems that will impact on our fundamental understanding of life and provide a basis for practical advances in medical, environmental and industrial applications.

Business Challenge

Diamond Light Source was already using SharePoint Portal Server 2001 for their web enabled document management and wished to upgrade to the faster and more efficient features of SharePoint Portal Server 2003. The project management teams had thousands of large project files that were difficult to locate because it was too cumbersome for users to enter relevant metadata. Diamond Light Source required a complete document management solution that was easy to navigate and search and would allow users to store content in different document libraries.

Our Solution

Content and Code carefully analysed the working practices of users to highlight key requirements, and delivered staff education and familiarisation sessions. Custom functionality was built to ensure the latest version would not lose existing that functionality staff were familiar with, and the look and feel of all SharePoint sites were designed to reflect corporate branding.

A migration tool was developed to automatically move the document libraries from SharePoint Portal Server 2001 to new sites and multiple document libraries. This tool had a simple graphical user interface that allowed Diamond Light Source to save money as internal staff could do the majority of the content migration. Document libraries were also customised to allow for additional metadata to be input quickly and easily.

Content and Code's 1Bar site browser was installed to allowed sites and document libraries to be viewed in a tree based structure. 1Crumbs, an additional navigation tool was installed to extended breadcrumb functionality into document libraries.

Using 1Recovery, Content and Code set up a replica server that takes a copy of each day's data therefore saving IT staff time when needing to recover deleted documents. This failover server gives Diamond Light Source the best protection if a complete disaster were to occur as traffic can be quickly switched to the back up solution.
