Fast Tracking collaboration and productivity

Gamble Trackline Services (GTS) is a subsidiary of the Gamble Group. The company renews and maintains railway infrastructure and also runs one of the leading training centres for railway track workers. The company recently won the contract to upgrade and maintain South Eastern Train's (SET) depots. Track Management Ltd (TML), a rail maintenance consultancy was brought in to oversee the work.

Business Challenge


GTS urgently required an extranet to share information and manage three teams based in eight different sites across the country. It was necessary for each team to regularly modify information in project documents. Originally, files were shared by email which caused confusion over what was the latest version of a document. When this happened, conflicting versions would have to be reconciled, sometimes resulting in significant delays in notification to the client.

Files would occasionally go missing and it was often difficult for colleagues to locate documents and contact details - especially when colleagues not directly involved in the project were asked to stand in for members of the project team.

GTS required frequent meetings to discuss progress and set targets for the next phase. It was not always easy to find common availability as all three teams were very busy. Staff were often unavailable and this resulted in delays and frustration on all sides.

Our Solution


Content and Code integrated Microsoft SharePoint Portal Server to create a secure extranet with a central document repository that improved the creation and uploading of work reports sent from the field. This became a single source for all materials connected with the project and made finding relevant information much easier than it was before.

The Document Workspaces were organised in a way that reflected the work practices of the GTS and were accessible via a well-designed navigation framework. A powerful search functionality also made it easy for workers to track down information, whatever the format, from a search box that is found on every page.

The Document Library's check-in / check-out ensured that GTS and TML were always working on the latest version of a particular document and eliminated the need to merge documents. All changes were tracked and assigned different version numbers which enabled audit trails in case of a mishap.

Meetings became less frequent but more productive as there was less need to clarify the status of work at particular depots. Instead, they offered greater scope for thinking strategically about the direction of the project.

The solution was so successful with South Eastern Trains, Gamble plans to rollout this extranet solution, Gamble Eye, to other major train operating companies throughout the UK.
