Nurturing Creative Work Portals

The University College London Hospitals, NHS Foundation Trust (UCLH) is one of the largest and busiest NHS Trusts in the country, responsible for the running of 8 hospitals in central London. The Trust employs 6000 staff spread over 15 physical sites and treats over 60,000 in-patients and nearly 400,000 out-patients in an average year. UCLH is currently undergoing the most significant period of change in its 250 year history.

Business Challenge

A new website and intranet was required to support the modernisation programme for the hospital. Under the new Freedom of Information Act, UCLH had the duty to respond to written requests for information from members of the public. Failure to comply would adversely affect the Trust's Health Commission ratings and could result in legal action. The limitations of the old intranet were impairing the ability of work groups within the Trust to communicate, share tasks and work together. The Trust's Clinical Governance Review had cited a lack of central databases for key information such as staffing indicators and training. With the government driving to improve transparency and accountability within the NHS, UCLH required a complete content and document management system that was accessible and easy to navigate.

Our Solution

Content and Code replaced the Trust's existing intranet with one based on Microsoft SharePoint Portal Server and Content Management Server. The new intranet has become the Trust's "one true, reliable source of information". Content and Code developed 1Connector that connects SharePoint and Content Management Server to produce seamless publication from any document held in SharePoint to the website or intranet at a click of a button.

Localised control has eliminated publishing bottlenecks and allowed each department to tailor their own intranet mini-site to reflect their interests and needs. The content management system is easy to use and encourages local ownership of content transforming passive content owners into active content publishers.

The document management system has minimised duplication of work and Trust administrators can now easily find, print, email or publish from their intranet directly to their website using 1Connector. Finding documents requested by members of the public is now easy with an advanced search functionality that finds data from a single document repository.

UCLH's new intranet has not only enhanced communications and the availability of information within the Trust, but also its quality and authenticity. In turn it has helped to improve patient and employee experience and promote higher professional standards.
