Access Permissions
Control access to particular folders based on a user's position or tasks. 'Single Sign On' access automatically sets the permissions assigned to different content authors and readers. SharePoint Portal Server can control access to a document according to a user's individual access rights, their department or their manager to ensure that sensitive data is kept confidential.
Approval Routing
When approval routing is assigned, it will ensure that a document is properly reviewed by an 'approver' before it is published. Approvers are notified by e-mail notification that a document requires review, and can quickly approve, reject or edit a document.
Automatic Document Publishing
SharePoint Portal Server simplifies document publishing by enabling authors to publish a document each time it is checked into the document library. Additionally, a document's author can check in working drafts and then choose when to publish a 'public' draft of the document and make it available to other users.
Information Management

Search and Retrieval
The search functionality offered by SharePoint Portal Server enables users to quickly find information which is not easily accessible by navigation. Users will be directed to 'Best Bets' that are considered particularly relevant to their search. These are displayed at the top of the search results, making it easier for employees to find the information they need quickly.
Users can also sign-up to be notified about changes to specific documents, folders or even a competitor's website via RSS feeds and alerts.

Version Control
Version control enhances transparency and enables users to work collaboratively on the same document. SharePoint Portal Server allows users to check-out documents and prevents the overwriting of another's work. Each document is archived, making it possible to monitor changes and revisions.
