400 locations globally

17,000 users

Mott MacDonald are a multidisciplinary consultancy providing engineering, management and development services internationally. Operating in 150 countries, across 400 locations, with over 17,000 staff, Mott MacDonald were faced with the growing challenge of finding ways to help their employees collaborate more effectively and work smarter within a changing climate.

The main issue for Mott MacDonald were information silos that had formed across the organisation which made it difficult for people to access business critical resources and client information, whilst making it impossible for their staff to escalate issues to the right people with relevant expertise. This often resulted in poor customer service and significantly prolonged the completion of revenue generating projects.

Mott MacDonald partnered with Content and Code to provide a single, integrated digital platform built on Office 365 that connected their people and brings consistency to global information sharing. The unique solution centric approach, innovative use of Microsoft technologies and flexible managed services arrangement has delivered substantial productivity gains with over 75% of employees actively using SharePoint Online and Delve.

Embracing change means staying ahead of the competition

Opting to go with Office 365 over Google Suite, the Mott MacDonald digital workplace solution encompasses the core pillars of Office 365; SharePoint, Exchange, OneDrive for Business, Skype for Business, Delve and Sway. Integral to the solution was Content and Code’s advanced People Search, SharePoint Sites and Yammer strategy for adoption that directly addressed the challenges outlined in Mott MacDonald’s strategy.

For Mott MacDonald, Office 365 provided them with a digital workspace with more powerful tools, access from anywhere and easier ways to share important documents and information throughout the whole organisation, across multiple geographies. Ultimately Office 365 has allowed employees to focus on what matters; their team, their practice and, most important of all, their customers.

Central hub to securely store, collaborate and share

By unifying SharePoint Online with Yammer to enable knowledge sharing and collaboration in Sites, Mott MacDonald have been able to embrace a different way of digital working through the creation of a central hub to securely store, collaborate and share.

With pressured deadlines, and working with colleagues across multiple geographies and office locations, the use of SharePoint Online has meant that employees can effectively collaborate with partners, and most importantly customers. With the addition of advanced security measures, specific information that is relevant to the project is shared to protect business critical data

The nature of Office 365 has afforded Mott MacDonald employees with the ability to take their digital workplace wherever they are and continue to contribute and share updates, whether that is through SharePoint Online, OneDrive or Yammer.

“We gained a tremendous amount of value from Yammer from the moment that we turned it on. Employees benefitted immediately without feeling overwhelmed by the shock of a big-bang launch”

A FastTrack to sucess through change management

Mott MacDonald recognised that a structured approach to change management and adoption was required in order to guarantee a swift ROI from their Office 365 investment.

Working in partnership with the FastTrack Center to plan for adoption and full launch, quick wins were identified and a work stream implementation order was established, starting with Yammer. As Yammer is deeply integrated into Mott MacDonald’s intranet as well as their SharePoint sites, high adoption of this tool was essential to the overall success of the project.

For Mott MacDonald the driving success factor of the project, was placing adoption at the heart of what they were trying to do.

Measuring the ROI of a successful rollout

Millions saved in travel expenses: Following the launch of Yammer, Mott MacDonald made a strategic decision to host their global BIM forum online using Skype for Business, Yammer and Groups. In addition to the huge associated cost savings, Mott MacDonald reported high levels of engagement as users globally could participate in their own time and at their own pace.

Improved client satisfaction: Using Office 365, Mott MacDonald are now equipped with the tools to be agile and adaptable in responding to their customers’ issues, and ensuring their customers are delighted throughout a project.

Cultural revolution: Another win for Mott MacDonald is the fact that Office 365 has broken down organisational barriers and spearheaded a cultural change within the organisation. In particular Yammer has signified a shift in terms of collaboration and transparency since its initial rollout.
Ultimately, Mott MacDonald are more productive and able to deal with customer issues and projects, quicker and more effectively.
